1. Categories of Data Processed
Account and Contact Data
First name, last name, email address, telephone number and other information provided by the User when creating an account or contacting the Company.
User Content
Documents, text, images and User instructions uploaded to the Platform.
User Content may contain confidential legal, financial, health-related or other information, as well as personal data and special categories of personal data relating to the User or third parties.
Outputs
Translations, OCR results, edited or recreated documents and other results generated by the Platform.
Usage and Security Data
IP address, device and browser information, session information, error and system logs, features used and similar technical information.
Support Data
The User's support requests, notifications and feedback correspondence with the Company.
2. Purposes of Data Use
Account and contact data may be used to create and manage user accounts, authenticate users and communicate with the User.
User Content and Outputs are processed to provide the document processing, OCR, translation and document creation services requested by the User, and for related security and legal processes.
Usage and security data may be used to operate and protect the Platform, resolve technical errors, prevent misuse and assess performance.
Support data is processed to address User requests.
3. Third-Party Service Providers
Matbu uses third-party technology and service providers to operate the Platform.
These providers may offer services particularly in the following areas:
- artificial intelligence and language processing,
- document processing and OCR,
- cloud and hosting infrastructure,
- authentication,
- information security,
- communication and email
Personal data and User Content may be processed by these providers to the extent necessary to provide the relevant service.
4. International Data Transfers
Some of the technology and service providers used by Matbu may be located outside Türkiye or may process data using infrastructure outside Türkiye.
As a result, some or all of the personal data processed in connection with the Platform may be transferred abroad.
International transfers of personal data are subject to the conditions and safeguards set out in Article 9 of the KVKK and other applicable data protection legislation.
5. Privacy and Security
Matbu takes into account that User Content may contain professional secrets, trade secrets, personal data or other sensitive information.
The Company implements appropriate technical and organisational measures against unauthorised access, use, alteration, loss or disclosure, taking into account the nature of the data processed and the associated risks.
No data transmission over the internet or electronic storage system can be guaranteed to be completely secure.
6. Retention and Deletion
Personal data is retained for as long as required for the purposes of processing and, where required by applicable legislation, for the statutory retention periods.
Users may view and manage their files and Outputs and request their deletion using the features available to them on the Platform.
To close their account, the User can write to support@matbu.ai from the email address registered to their account.
Records that must be retained by law may be kept for the duration of the applicable retention obligations.
7. Third-Party Data in User Content
Where documents uploaded to the Platform by corporate or other Users contain personal data relating to third parties, the User is responsible for ensuring that there is a valid legal basis for transferring that data to the Platform and processing it.
With respect to third-party data collected by corporate or other Users for their own purposes, the User is responsible for fulfilling their obligations as a data controller.
8. Cookies
Information about the cookies and similar technologies used on the Platform is provided in the Cookie Policy.
9. Data Subject Rights
The rights of data subjects in Türkiye under the KVKK and the procedures for submitting requests are explained in the KVKK Privacy Notice.
10. Updates
This Privacy Policy may be updated if the Platform's features, technical infrastructure or data processing procedures change.
