1. Scope and Parties
These Terms of Service (“Terms”) govern the use of the Matbu website, web application and related services (“Platform”) operated by GY Elektronik Hizmetler ve Ticaret Limited Şirketi (“Company”).
“User” means any individual or legal entity using the Platform; “User Content” means documents, text, images, instructions and other content uploaded to the Platform; and “Output” means translations, OCR results, edited or reconstructed documents and other results generated by the Platform.
Users are given the opportunity to review the Terms, and their electronic acceptance is obtained where required.
Information on the processing of personal data is provided separately in the Privacy Policy, Personal Data Protection Law (KVKK) Privacy Notice and Cookie Policy. The KVKK Privacy Notice is not an agreement or a consent form.
2. Service
Using artificial intelligence, optical character recognition (OCR) and other document processing technologies, Matbu provides the following services for PDF, DOCX and other supported document types:
- translation,
- text recognition and processing,
- formatting, and
- reconstruction that preserves the original document structure and layout to the extent possible.
Supported languages, formats, file sizes, usage limits and features are displayed on the Platform and may change over time.
3. User Account
The User agrees that the information they provide to the Platform is accurate and up to date.
Anyone using the Platform on behalf of a legal entity represents that they are authorized to act on that entity’s behalf.
The User is responsible for the security of their account and login credentials and must notify the Company without delay of any suspected unauthorized use.
Except through team or shared-use features permitted by the Platform, accounts may not be shared with unauthorized third parties.
4. User Content
Rights in User Content belong to the User or the relevant rights holder.
The User acknowledges that, for the following activities:
- uploading User Content to the Platform,
- having the content processed as part of the service,
- permitting its reproduction, translation or processing where necessary,
they hold the necessary rights and authority.
The User is responsible for obtaining the permissions required to process content protected by copyright or other intellectual property rights through the Platform.
The User permits the technical processing of User Content to the extent necessary to provide the Platform’s services, ensure system and information security, prevent misuse and comply with legal obligations.
This provision does not transfer ownership of User Content to the Company.
5. Documents Containing Personal Data
The User is responsible for having the necessary legal basis and authority to upload third parties’ personal data and special categories of personal data to the Platform and to have such data processed as part of the service.
Where a corporate User submits to Matbu third-party data collected in the course of its own activities, the User is responsible for fulfilling its obligations as the data controller in respect of that data.
6. Confidentiality and Security
The Company implements appropriate technical and organizational measures to protect User Content against unauthorized access, use, alteration or disclosure.
Other matters relating to the processing of personal data and User Content are explained in the Privacy Policy and the KVKK Privacy Notice.
7. Artificial Intelligence and Outputs
The Platform’s Outputs may be generated using artificial intelligence and automated document processing technologies.
As a result, Outputs may contain, in particular:
- incorrect or incomplete translations,
- OCR errors,
- missing or omitted content,
- terminological inconsistencies,
- errors in tables, footnotes or numbering,
- changes to fonts or formatting,
- alignment and overflow issues,
- incomplete or incorrect processing of text within images.
Matbu does not guarantee that an Output is entirely accurate, complete or suitable for the User’s particular purpose.
The User is responsible for performing the necessary checks and verification before using an Output. Outputs must also be reviewed separately by a qualified expert.
Unless expressly stated otherwise, Outputs automatically generated by the Platform are not sworn, notarized or certified translations, and their acceptance by any institution or authority is not guaranteed.
8. Third-Party Technologies
The operation of the Platform may involve the use of third-party technologies for artificial intelligence, OCR, hosting, cloud infrastructure, authentication, security, communications and similar purposes.
9. Prohibited Uses
The User must not use the Platform for any of the following purposes:
- engaging in unlawful activities,
- infringing third parties’ intellectual property, personal data or other rights,
- obtaining or processing personal data without authorization,
- creating malware or security threats,
- bypassing usage or technical restrictions without authorization,
- circumventing account or usage limits,
- conducting unauthorized scraping or automated data collection,
- disrupting or overloading the Platform.
Reverse engineering of the Platform is prohibited, except to the extent permitted by mandatory provisions of applicable law.
Outputs may not be used to systematically copy Matbu’s technology or to develop or train a competing system or model.
The User may not represent an Output as a sworn, approved or certified translation issued by Matbu unless Matbu has provided it as such.
10. Intellectual Property
Rights in the Platform’s software, design, trademarks, interfaces and other original elements belonging to the Company are held by the Company or the relevant rights holders.
Rights in User Content remain with the User or the relevant rights holder.
Unless otherwise separately agreed, the Company does not assert ownership or exclusive usage rights in an Output against the User.
11. File and Account Management
The User may access and manage their processing history and stored files or Outputs using the features available on the Platform.
The User can request deletion of files or Outputs using the deletion tools provided on the Platform. To close their account, they can write to support@matbu.ai from the email address registered to their account.
Records that must be retained by law are excluded from this provision.
12. Service Changes and Availability
The Company may modify services and features to improve the Platform, ensure its security or meet technical requirements.
The Platform may experience temporary interruptions due to maintenance, technical failures, third-party service outages, security incidents or circumstances beyond the Company’s reasonable control.
Changes that materially affect Users’ current use will be announced through appropriate communication channels.
13. Suspension and Account Closure
In the event of a breach of the Terms, unlawful use, a security risk, misuse or infringement of third-party rights, the Company may restrict, suspend or terminate the User’s access in a manner proportionate to the nature of the violation.
Where possible, the User will be notified in advance, except in cases involving urgent security concerns or clearly unlawful conduct.
14. Liability
Matbu provides its services with reasonable care.
However, given the nature of artificial intelligence and automated document processing systems, there is no guarantee that the Platform or Outputs will be entirely error-free, uninterrupted or suitable for a particular purpose.
Nothing in these Terms limits the Company’s liability for willful misconduct or gross negligence, or any liability that cannot be limited under mandatory provisions of applicable law.
15. Relationship Between Documents
The Terms of Service govern the general use of the Platform.
The KVKK Privacy Notice, Privacy Policy and Cookie Policy apply separately to their respective subject matters.
Where the User and the Company have separately signed an individual or corporate agreement, that specific agreement takes precedence in respect of conflicting commercial provisions.
16. Changes and Notices
These Terms may be updated to reflect changes in legislation, the Platform or the services.
Material changes will be announced via the registered email address, in-Platform notifications or similar appropriate electronic means.
17. Governing Law and Jurisdiction
These Terms are governed by the laws of the Republic of Türkiye. The Istanbul Courts and Enforcement Offices have jurisdiction over any disputes that may arise.
18. Miscellaneous
If any provision of these Terms is invalid or unenforceable, this does not affect the validity of the remaining provisions.
The User may not transfer their contractual position under these Terms to a third party without the Company’s prior written consent.
